Our client is well known corporate firm looking to recruit a permanent Executive Assistant to support a Senior Executive and line manage a PA and Team Administrator along with office management duties for the office of approximately 80 members of staff.

Salary: £36,000 - £38,000 + fantastic benefits package and 25 days holiday

Hybrid: 4 days working in the office and one from home

Location: Leeds City Centre fantastic office new, modern, large, bright

Executive Assistant duties:

  • Extensive diary management for the Senior Executive - managing a very busy diary with back-to-back meetings daily both external and internal.
  • Ensuring the Senior Executive is prepared for meetings with any necessary documentation.
  • Inbox management for the Senior Executive.
  • Booking UK travel arrangements.
  • Taking notes in meetings and forwarding action points.
  • Arranging events.
  • Processing expenses.
  • Assisting with the Anti-Money Laundering process, delegating appropriate tasks.
  • Responsible for the billing process on behalf of the Partners.
  • Line managing the PA and Team Administrator to include: ensuring their work is completed to high standard and to deadlines requested, supporting their personal development, conducting 1-1 meetings and annual performance management meetings, arranging the monthly office support team meetings, setting the agenda and delegating actions, coaching and mentoring the Team Administrator.
  • Assisting with any project work.
  • Providing cover to other Partners as and when needed.
  • Office Manager duties - Being responsible for the smooth running of the office ensuring Health & Safety standards and that the office is a safe working environment for both employees and visitors, working with the firm's internal departments including Facilities, Marketing, and Talent Acquisition. Being a role model and following the firm’s policies and staff handbook, ensuring the firm’s projects and initiatives are followed. Managing suppliers etc.

Executive Assistant profile required:

  • Have previous Executive Assistant experience supporting a senior Executive.
  • Have previously worked within a busy corporate environment.
  • Have experience of managing a very busy diary.
  • Have previously managed or supervised at least one office staff member.
  • Be able to take notes in meetings.
  • Have excellent organisational, problem solving and time management skills.
  • Be able to find solutions if any problems should arise.
  • Be a positive role model, able to motivate and inspire.
  • Have excellent communication and interpersonal skills and be able to build good working relationships with all levels of the business.
  • Be a great team player who is approachable and willing to help.
  • Have a great work ethic and take a pride in their work.
  • Maintain high levels of confidentiality and discretion at all times.
  • Have very good Microsoft Word, Outlook, Excel and PowerPoint skills.
