Working as a key support professional within a dynamic property firm, your role will encompass a wide range of administrative, marketing, and client-facing responsibilities. You will primarily provide high-level support to a senior executive (referred to here as the Managing Director), ensuring smooth daily operations and assisting with both business and personal matters. Specific responsibilities include:
Administrative & Executive Support-
Email ManagementHandle all incoming and outgoing correspondence for the Managing Director, ensuring timely responses and appropriate prioritisation. This includes flagging urgent matters, drafting replies, and maintaining inbox organisation.

Diary & Calendar CoordinationOversee daily scheduling, arrange internal and external meetings, and manage last-minute changes effectively to support a fast-paced work environment.

Document Drafting & Audio TypingTranscribe dictated emails, letters, and notes with accuracy. Assist in the preparation and proofreading of client letters, internal memos, and other business correspondence.

Office Management & General AdminSupport day-to-day office operations including answering phones, managing supplies, greeting guests, setting up Zoom/Teams meetings, and maintaining a professional and welcoming office environment.

Invoicing & Financial AdminAssist with basic invoicing tasks and maintain documentation for accounting purposes.

Social Media ManagementDevelop engaging content tailored for LinkedIn and Instagram, including:

Drafting copy for posts and announcements

Reviewing and editing property images

Creating and posting reels or video content

Promoting recent deals and achievements in a timely, branded manner

Marketing Collateral PreparationSupport the design and production of professional marketing materials, including:

Property brochures and presentations using Microsoft Office and Adobe InDesign

Edited property photographs (Photoshop)

"Top & Tail" branded documents using Adobe Acrobat

Property Interest SchedulesMaintain and update interest schedules to track and report buyer/tenant activity on listed properties.

Cost Matrix AssistanceCreate and update cost comparison matrices for prospective developments or acquisitions.

Canvassing LettersDraft and send personalised outreach communications to potential clients or property owners.

Client MeetingsAssist with guest reception and preparation for meetings, ensuring a professional experience for clients.

Direct Support to Managing DirectorProvide proactive, confidential PA support to the Managing Director, handling both professional and personal tasks as needed.

Occasional Support to Other ExecutivesOffer ad hoc personal assistance to other senior team members when required.
