A central government executive agency is seeking an experienced Facilities Coordinator to join their small, dedicated team on an interim basis. This 4-month contract is to provide essential cover during a period of staff absence and ensure the continued smooth operation of the office environment.

Key Responsibilities
  • Act as the first point of contact for all facilities-related issues, including security, AV equipment, cleaning, stationery, and meeting room setups.
  • Support the procurement process for facilities goods and services in line with government guidelines.
  • Deliver Health & Safety and office induction briefings to new staff and contractors.
  • Maintain accurate records of facilities issues and updates.
  • Manage incoming and outgoing mail, including franking and distribution.
  • Conduct daily checks on office systems (e.g., AC, AV, copiers, TV).
  • Coordinate visitor and contractor access via the landlord’s management system.
  • Set up meeting rooms and arrange refreshments as required.
Experience & Skills
  • Strong interpersonal and customer service skills, with the ability to liaise effectively at all levels.
  • Proven experience in a facilities team environment.
  • Confident in managing contractor relationships and ensuring quality standards.
  • Familiarity with procurement processes, including raising purchase orders and obtaining approvals.
  • First Aid and/or Fire Marshal certification is desirable.
Additional Information
  • The role is fully office-based and may occasionally require evening or weekend work.
  • Candidates must be eligible for SC security clearance. Preference will be given to those already cleared.
  • References covering the last three years of employment are required.
