Document Controller Role - Aconex

Location: Central London

Full Time, Fully site based

Your day to day duties will include:



Pre-Construction

  • Assist with the collation and review of all incoming tender documentation ensuring accurate records are maintained throughout the tender process.
  • Assist in the production of tender launch documents as required.
  • Assist the pre-construction department in collating relevant information regarding tender submissions.
  • Assist with the preparation of documents for tendering purposes.
  • Assist in the collation, dissemination and recording of tender queries and responses.


Document Control

  • Assisting with the implementation of the document management process (EDMS, email, paper etc.) for the project.
  • Uploading / downloading relevant information to the EDMS.
  • Control of the internal and external documentation as required utilising the EDMS.
  • Ensuring all documents are carried through the correct review and approval processes.
  • Ensuring Project team adherence to system, Protocols and Quality standards.
  • Ensure timely reports are provided to the Project Manager highlighting any changes/overdue approvals which could hinder progress on the project.
  • Ensure the hard copy drawings, files, etc. are constantly updated with the latest revisions / information and are kept in good order.
  • Overview of approvals and RFIs on the project, ensuring these are appropriately raised and closed out in a timely manner.
  • Co-ordinating the sample/technical submittal/benchmark approval processes and keeping the relevant trackers updated.
  • Assist in the production and issuing of the Change Notification Register, EAI Registers, RFI registers.
  • Updating of various schedules/trackers to assist with project delivery.
  • Collate, review and issue Project Reports as required in a timely manner including relevant appendices.
  • Compete ad hoc Audits on each Project.
  • Provide Viewpoint for Projects inductions and ongoing training to the internal and external members of the project teams.
  • Manage/assist with each project setup as necessary.


Handover / Accreditation

  • Manage the process of collating all trade O&M manuals and ensuring the approval/commenting process for this is carried out in line with programme dates.
  • Assist in the production (as required) of the Project H&S File including O&M Manuals and As Built Drawings.
  • Assist in the development of the completion and handover information (key schedules, & registers).
  • Assist in the collation all QHSE information as required by the Project, Division or Group QHSE Manager.
