Signature Recruitment is working with our client, a London-based university, to find a Departmental Procurement and Recruitment Coordinator to support a busy academic team with purchasing and recruitment tasks.

This hands-on role supports departmental finance and recruitment, working closely with academics and researchers. You’ll gain experience across multiple systems (full training provided) in a collaborative and supportive team. This is a hybrid position (3 days on campus, 2 remote) for a 3-month contract.

Departmental Procurement and Recruitment Coordinator Key Responsibilities:
  • Raise purchase orders, process account transfers and journals, ensuring all activity complies with procurement policies.
  • Manage payments, budget adjustments, and supplier communication (especially for orders exceeding £10k)
  • Coordinate quotations and purchasing activity for academic and research staff, including PhD projects
  • Use multiple systems and portals (e.g. TalentLink, iProcurement, ICIS - training provided)
  • Assist with recruitment admin such as advert posting, interview coordination, and contract processes
  • Liaise with procurement and HR teams, suppliers, academics, and researchers across the department
Departmental Procurement and Recruitment Coordinator Key Skills:
  • Proven experience raising purchase orders and following procurement procedures
  • Strong attention to detail with confidence using Excel and financial systems
  • Flexible, proactive, and comfortable learning new portals and systems
  • Clear communication skills with experience working in Higher Education environments
