Job Title: Executive Assistant
Location: Victoria, London
Pay: £16 - £20 per hour
Duration: Temporary 2-3 weeks
Hours/days: Monday - Friday (full- time)

Responsibilities:
- Provide a warm and courteous reception service, managing the main phone switchboard.
- Greet visitors with a smile, serve refreshments, and keep meeting rooms tidy and stocked.
- Manage the enquiries mailbox by drafting replies to straightforward queries and reallocating others effectively.
- Coordinate Board meetings, ensuring timely distribution of papers and liaising with Board Members.
- draught meeting minutes for Board and Executive Committee from recordings, utilising the latest technologies.
- Offer comprehensive diary, travel, and administrative support to the Chief Executive, assisting with special projects.
- Collaborate with staff to prepare briefing materials for external meetings.
- Ensure effective document control and retrieval, maintaining organisation.
- Handle documents needing notarisation, with occasional visits to the FCO and Chinese Embassy.
- Produce supporting documents for Client and staff visa applications for business travel.
Essential Skills:
- Exceptional verbal and written communication skills; conversational Mandarin is a plus!
- Confident and courteous when engaging with C-level stakeholders.
- Strong self-management and organisational skills with keen attention to detail.
- Proactive, adaptable, and practical in problem-solving scenarios.
- Commitment to maintaining confidentiality and discretion at all times.
- Proficient in Microsoft Word, Outlook, PowerPoint, and Excel.
- Self-motivated and flexible with working hours to meet business needs.
- Creative, eager to learn, and a true team player!
- Willingness to support team activities outside of the core role as needed.
