A small, private office in Mayfair is seeking a highly organised and discreet PA & Team Assistant to support a close-knit team and manage day-to-day operations. This client-facing role involves both administrative support and personal assistance to the Principal and family members, requiring a proactive mindset and excellent communication skills.

Previous experience working in a family office environment is essential, as the role involves handling sensitive information and managing private affairs with professionalism and confidentiality.

Key Responsibilities

Team Assistant Duties

  • Coordinate complex travel arrangements (flights, accommodation, itineraries).
  • Manage directors’ calendars and appointments.
  • Maintain accurate employee records (digital and hard copy).
  • Act as first point of contact for calls, messages, and correspondence.
  • Organise meetings and professionally host visitors.
  • Provide general administrative support, including office supplies and document preparation.
  • Record purchase invoices and process payments for corporate entities.
  • Prepare and reconcile expense reports.

PA Duties to Principal & Family

  • Manage visa applications and monitor expiration dates for travel documents.
  • Arrange travel and accommodation for family members.
  • Book medical appointments and handle insurance claims.
  • Assist with hiring household staff 
  • Support private life events and family matters 
  • Track and oversee payments related to private family operations.
  • Manage vehicle administration 
Skills & Competencies
  • High level of discretion and ability to handle confidential information.
  • Strong verbal and written communication skills.
  • Proficiency in MS Office and expense management software.
  • Calm, professional, and service-oriented attitude.
