Your new companyMy client is a well-recognised non-ministerial department based in Canary Wharf who are looking for PA to support three senior Directors on a temporary basis for an initial 6-month contract to cover maternity cover with a 40% minimum expected in office. They are looking for an experienced diary manager as the main bulk of the role will be diary management. Your new role

  • You will provide administrative support to the SLDs in a professional and responsible manner, being proactive and alert to their daily workload. This can include:
  • Assist the SLDs in managing their Outlook inbox, actioning work and tracking progress and proactively alerting them to actions.
  • Prepare a day pack (using folders in Outlook) for each SLD in advance (including schedule of meetings, in time order with brief details of meetings and supporting paperwork where appropriate).
  • Manage the SLDs' diaries, dealing effectively with conflicts and exercising sound judgement in prioritising appointments, all in a timely manner.
  • Assist the Legal Directors and lawyers reporting directly and indirectly to the SLDs with light administrative support, but this includes arranging the more difficult meetings, travel and assisting with difficult expenses, etc.
  • Maintain an internal calendar of key forthcoming events and support the weekly meetings of the teams where appropriate.
  • In conjunction with the other PAs and the EA to General Counsel, ensure that one collective annual leave chart for Legal Service is managed/maintained, ensuring that the Business Manager is informed of the SLDs' annual leave in a timely manner.
  • Support efficient handling of management information and organisation report requests, quality assuring these.
  • Book travel, accommodation, meeting rooms and refreshments and meet and greet external visitors.
  • Raise Purchase Orders.
  • Assist in managing SharePoint sites for Legal Services.
  • Work collaboratively and flexibly with other PAs, supporting administrative tasks across the directorates when required, eg, annual leave and busy periods.
  • Provide general support to the Business Manager where required, eg, business and social events, etc.
  • Assist with recruitment administration across the Legal Service when required.

What you'll need to succeed

  • Evidence of prioritising key actions, and diary management through Microsoft Outlook or a similar personal information manager.
  • Experience of being self-starting and proactive, being able to manage multiple tasks and to support senior stakeholders in a fast-paced environment.
  • Demonstrable organisational and administrative skills, including a strong knowledge of Microsoft Office packages.
  • Strong communication skills, with experience of building relationships at PA level and above, across different divisions.
