This is an office based position Monday to Friday

This team need a full-time Bid Coordinator to join their dynamic Estimating Department. This is an amazing opportunity for someone who wishes to expand their knowledge further within the Construction Industry.

You will be responsible for administration associated with the estimating processes, including portal management, mailbox management, and for the completion of PQQ, RFI, SQ and basic ITT documents. You will be used to working within a consistently busy and deadline driving environment and will thrive under pressure.

As an Bid Coordinator it is essential that you can carry out your duties accurately, at pace and working with multiple deadlines.

Responsibilities:

Take phone calls to the estimating department, take relevant details and pass on to the Estimating Manager.

  • Scheduling meetings.
  • Setting up tenders, downloading enquiry documents and printing off necessary paperwork.
  • Managing preparation of supplier tender enquiries, including SQ, PQQs, and RFIs
  • Managing tender clarifications ensuring new information and documents are distributed to the estimator responsible and relevant supply chain members.
  • Assisting in our sub-contractor enquiry process with the lead estimator, including sending out enquiries, arranging site visits and chasing up quotes.
  • Assist lead estimator with querying any unpriced items and recording any tender clarifications.
  • Adding schedule of works to estimating system.
  • Ensuring that all tenders are logged and submitted appropriately.
  • Assist with the drafting of tender submission documents
  • Proof-read and critique tender submissions
  • Assist in managing the quality response library by ensuring best responses are retained whilst removing out of date information.
  • Liaise with other department to find information which supports our bids particularly with regards to social value, innovation, training etc
  • Updating and maintaining our CRM & Estimating systems.
  • Updating estimating statistics sheet and forward load when Project received. Following up offers and tenders expected.
  • Setting up new jobs when secured.
  • Keeping portal information up to date.

Essential:

  • Good communication skills.
  • Good computer literacy including proficiency with Microsoft Word, Excel, Outlook and Project. Experience with InDesign & Canva software desirable but not essential.
  • Pass security clearance application i.e. BPSS.
  • Able to work as part of a team yet willing to work independently managing and prioritizing their tasks.
  • Carrying out their duties accurately, at pace and working to multiple deadlines.
