Are you a highly organised and proactive professional with a talent for keeping operations running smoothly? We are looking for an experienced Office Manager who will also provide executive support to the CEO of a dynamic and impactful organisation.
This is a key role at the heart of the organisation, with a primary focus on managing the day-to-day operations of the office. In addition, you’ll work closely with the CEO, supporting diary management, meetings, and strategic initiatives.
Key Responsibilities:Office Management (Primary Focus)
- Oversee all office systems, supplies, and logistics for hybrid working.
- Act as the first point of contact for visitors, suppliers, and stakeholders.
- Coordinate meetings, manage room bookings, and ensure smooth office operations.
- Maintain databases, handle post, and ensure a professional front-of-house presence.
Executive Support
- Manage the CEO’s diary, travel arrangements, and meeting logistics.
- Liaise with stakeholders and assist with donor and event coordination.
- Prepare meeting agendas, take minutes, and follow up on action points.
- Support the CEO with financial processes and relationship management.
HR & Financial Administration
- Maintain staff records and support recruitment and onboarding.
- Assist with payroll, petty cash, and audit preparation.
- Ensure compliance with health and safety and child protection policies.
General Support
- Provide occasional assistance with international operations and fundraising events.
- Collaborate with colleagues across departments to support organisational goals.
- Proven experience in office management and executive support roles.
- Strong IT skills, particularly in Microsoft Office.
- Excellent communication and interpersonal skills.
- Ability to multitask, prioritise, and work under pressure.
- High attention to detail and a professional telephone manner.
- Experience in HR processes is desirable.
