Kenny Recruit are looking for a part time Payroll Specialist to join a client of theirs who globally produce and sell a wellness product. You will be responsible for the administration of the UK payroll as well the European payroll. You will need to ensure that our client is compliant with employment law as well as optimising payroll processes to meet the growing needs of our client. You will need to have previous experience and understanding of UK payroll regulations as well as payroll journals and tax compliance. You will need to have strong attention to detail, be able to use Excel and be solution focused.This role is for 15 to 20 hours a week; you can work remotely or on a hybrid basis. If you are working remotely then you will need to go to the office at least once a month. The office is West London.

Pay: £30,000 - £40,000 per annum (FTE & dependant on experience)

Location: West London (can be remote or 1 day a week from the office)

Working Hours: 9am - 5:30pm (15 - 20 hours a week)

Key Responsibilities:

Payroll Administration:

  • Process the payroll for employees across applicable countries, ensuring timely and accurate payments.
  • UK ADP- Approx. 150 employees
  • EU Work Motion
  • Work Direct - 4 employees - end to end payroll processing (processing payments to employees & tax authorities)
  • Work Global - 6 employees -EOR (Employer of Record)
  • German payroll Bureau - 1 employee - end to end payroll processing
  • Liaise with local payroll providers to ensure compliance with country-specific labour laws, tax regulations, and social security contributions.
  • Prepare and review payroll reports, ensuring accuracy in salary, overtime, tax deductions, benefits, and other payments.
  • Assist with payroll-related inquiries from employees, providing clear explanations of deductions, tax codes, and wage calculations.

Compliance and Reporting:

  • Ensure payroll follows applicable local regulations, including tax laws and social security systems.
  • Prepare monthly finance payroll filings and year-end tax and audit activities, providing reports and data as needed

Monthly:

  • Payroll journal - UK & EU
  • Bonus accrual
  • Maintain holiday accrual
  • Maintain/update accrued payroll, accrued payroll taxes, accrued health care and accrued pension balance sheet reconciliations. Adhering to strict month end deadlines.
  • Provide variance analysis for month over month movement in wages, salaries and benefits
  • Pension filing - adhering to strict deadline
  • Updating the payroll reconciliation in preparation for audit
  • Updating salary budget vs actual by employee/department financial model

Annual:

  • Over see the P11d and P11d b filings are submitted and paid on time
  • PSA submission and payment to HMC adhering to strict deadlines
  • Assist with UK audit queries and samples
  • Stay updated on legislative changes in payroll and benefits across applicable countries and recommend necessary updates to processes or policies.

Process Improvement:

  • Continuously review payroll processes to improve efficiency and accuracy.
  • Identify areas for automation and work with the payroll system providers or internal IT team to implement improvements.
  • Proactively seek feedback from employees and stakeholders to enhance the payroll experience.

Cross-functional Collaboration:

  • Partner with HR, and external vendors to ensure smooth payroll operations across all payroll countries.
  • Work with finance teams and execute to ensure proper accounting and reconciliation of payroll data.

Requirements:

Experience:

  • 3+ years of experience in payroll.
  • Proven experience administration of payroll in UK and other European countries.
  • Good knowledge of local labour laws, tax regulations.

Skills:

  • Proficiency in payroll software and systems (e.g., ADP, BambooHR, SAP)
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and organizational abilities.
  • Strong communication skills to liaise with cross-functional teams and external vendors.
  • Ability to manage sensitive and confidential information with discretion.
