Are you an experienced Executive Assistant looking for a new challenge within the private healthcare sector?

We are currently working in partnership with a highly reputable specialist care provider, with children’s services across North of England and Scotland, who are looking for a highly organised and proactive Executive Assistant to join their team. The successful applicant will provide support to the full SLT to ensure smooth running of day-to-day operations, as well as assisting the SLT as they continue to grow and expand their services across the UK.

Responsibilities:

  • Provide high-level administrative support to the CEO, CFO, and COO, including complex diary management, scheduling meetings, and ensuring optimal time management.
  • Take a proactive approach in anticipating the needs of the leadership team, ensuring they are fully prepared for meetings and key engagements.
  • Act as the first point of contact for internal and external stakeholders, managing correspondence and inquiries professionally and efficiently.
  • Prepare, review, and distribute reports, presentations, and other documentation required for board meetings and senior leadership discussions.
  • Coordinate and manage key business projects, ensuring deadlines are met and stakeholders are kept informed.
  • Be relentless in following up on tasks, deadlines, and commitments, ensuring accountability across teams and keeping projects moving forward without hesitation.
  • Manage travel and accommodation arrangements for the executive team, ensuring seamless logistics for business trips and events.
  • Organise and minute leadership and board meetings, ensuring follow-up actions are tracked and completed.
  • Oversee internal communications, ensuring clear and consistent messaging across teams and departments.
  • Liaise with other departments to facilitate effective communication and collaboration across the business.
  • Maintain strict confidentiality and discretion when handling sensitive business matters.
  • Support the senior leadership team with strategic initiatives, research, and operational planning.
  • Manage expenses, invoices, and budget tracking for the executive team as needed.

Requirements:

  • Proven experience as an Executive Assistant, preferably within a private equity-backed business or a fast-paced, high-growth environment.
  • Exceptional organisational and multitasking abilities, with strong attention to detail.
  • Tenacious and results-driven, with a determination to ensure deadlines are met and commitments are honoured, even if it requires persistent follow-ups.
  • Ability to proactively anticipate needs, problem-solve, and take initiative to ensure smooth operations.
  • Experience managing complex diaries and schedules, ensuring efficient time management for executives.
  • Strong written and verbal communication skills, with the ability to draft professional internal communications.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business tools.
  • Experience working with senior leadership teams and preparing them for meetings and engagements.
