About the Role

We’re looking for a proactive and detail-oriented Tracking Administrator to take ownership of shipment tracking and logistics coordination across road and air freight. You’ll be the central point of contact for ensuring smooth movement of goods, accurate documentation, and timely communication with customers, carriers, and internal teams.

Key Responsibilities

  • Input and manage shipment orders in the system
  • Track domestic and international shipments (road and air)
  • Provide quotes and negotiate rates with carriers when needed
  • Liaise with customs to ensure cross-border documentation is complete
  • Plan vehicle movements and coordinate with subcontractors
  • Keep customers updated on job progress and delivery timelines
  • Ensure drivers have correct paperwork for EU shipments
  • Communicate clearly with the warehouse regarding returns and outbound loads
  • Close out job files by collecting PODs, purchase orders, and scanning documents
  • Maintain system accuracy and integrity
  • Escalate issues effectively to relevant departments
  • Collaborate with Operations, Accounts, and Warehouse teams
  • Ensure all paperwork is filed promptly and correctly
  • Support system housekeeping and job completion prior to invoicing

What You’ll Need

  • Strong computer literacy (MS Office, email, spreadsheets, databases)
  • Excellent organisational and administrative skills
  • Confident communicator with a professional approach
  • Good level of numeracy and literacy
  • Minimum 5 GCSEs or equivalent
  • Experience in transport or freight forwarding is a plus

Working Conditions

  • Weekend shift: Friday to Monday, 19:00–07:00
