We are currently seeking a highly organised and proactive Administrative Assistant to join our team in Dover. Reporting directly to the company Director, this role offers the opportunity to provide essential support across all operations, ensuring smooth and efficient office management. This position is perfect for someone with a strong background in administrative roles, looking to contribute to a dynamic team.
Day-to-day of the role:- Manage daily office operations and maintain a professional office environment.
- Act as a liaison between the office and building/facility management.
- Oversee the replenishment and inventory management of office and kitchen supplies.
- Handle maintenance requests and equipment inventories, ensuring all office equipment operates smoothly.
- Manage mail and courier services, coordinate vendor deliveries, and maintain orderly records.
- Support IT operations by managing IT inventory, preparing PCs for employees, and overseeing software licenses.
- Organise travel and accommodation for UK employees and executives, manage expense reports, and prepare travel itineraries.
- Maintain financial records, including scanning and uploading receipts and reports for operational expenses.
- Schedule meetings, manage conference room bookings, and support various administrative tasks as needed.
- Assist with onboarding new employees, including setting up training materials and managing contract and procurement support.
- Maintain and update the company’s SharePoint training site and manage data entry for contract information.
- Bachelor’s degree in business or a related field.
- At least 2 years of experience in similar operational or administrative roles.
- High proficiency in Microsoft Office applications (Excel, Word, Outlook, and Access).
- Experience working in a global environment and familiarity with integrated software applications.
- Excellent verbal and written communication skills, with a strong ability to collaborate effectively.
