A thriving company are currently looking for an PA / Project Coordinator to join their team. The PA / Project Coordinator role includes assisting with booking meeting rooms and travel coordination, compiling reports, presentations, managing the in-house email inbox, and carrying out a range of administrative functions to support the wider team. There may be some overseas travel included in this role

Administrator responsibilities

  • Carrying out a full range of administrative duties including monitoring the in-house email inbox, updating spreadsheets/reports assisting with meeting agendas and taking/typing up meeting notes
  • Assisting management with compiling project and client reports on a weekly, monthly, and ad hoc basis
  • Accurately checking documentation to be issued by the team, and assisting with final layouts and formatting
  • Assisting with diary management, checking availability, and booking external meeting rooms if required
  • Supporting the team in following up on outstanding items, including liaising with external parties regarding queries
  • Aiding the team with UK and overseas travel co-ordination, providing travel schedules, and booking flights, taxis, and hotels
  • Collating travel receipts and preparing monthly invoices, ready for final approval and issue
  • Reviewing and updating the in-house database, chasing the team for any overdue items or updates
  • Downloading and saving project documentation, reports, minutes, and drawings
  • Carrying out general research for the projects
  • Organising refreshments/food for meetings
  • Managing postal duties
  • Assisting management with scheduling visits and ordering general office supplies as required

Administrator skills/competencies:

  • Previous experience in a similar role desirable
  • Proficient in Microsoft Word, Excel, and Outlook
  • Excellent communication and organisational skills
