We’re looking for a proactive and organised individual to join a supportive and fast-paced financial services team in Sunderland. This role is integral to delivering excellent outcomes for clients by supporting advisers and relationship managers with high-quality administrative service.

About the RoleIn this position, you will play a key part in managing client documentation, coordinating meetings, and maintaining accurate records. You’ll be the first point of contact for client queries, whether by phone, email, or in person, helping to ensure a seamless experience throughout the client journey.

Working closely with financial advisers, paraplanners, and client relationship managers, you’ll help manage client portfolios by maintaining up-to-date records, preparing review packs, and processing new business applications. This is a highly collaborative role that demands attention to detail, excellent communication skills, and a commitment to service excellence.

Key ResponsibilitiesClient and Office Administration

  • Prepare and process new client documentation, including ID and financial details for AML/KYC checks
  • Maintain up-to-date and compliant client records using our CRM system
  • Handle client enquiries and direct them appropriately
  • Schedule client meetings and manage adviser diaries
  • Manage data entry, document filing, and general record upkeep
  • Draft and send client correspondence such as summaries and follow-up letters

General Office Support

  • Maintain a welcoming office environment and greet clients as needed
  • Assist with office tasks including mail handling, supply ordering, and meeting room setup
  • Support the coordination of internal events, training, and team meetings

Review Preparation & New Business Processing

  • Help prepare client review documentation and financial planning materials
  • Liaise with providers to gather information for policy updates, fund switches, and new applications
  • Ensure smooth handling of policy transactions and any associated paperwork

Learning and Development

  • Participate in training sessions to build understanding of financial services and compliance
