Office Coordinator/Contracts Administrator -12 Months Fixed Term ContractWakefield Based - Closed to transport links£26k per annumMonday to Thursday - 8am to 5pmFriday - 8am to 3pmElevation Recruitment are exclusively working with a fantastic construction business in Wakefield who are looking to hire a Contracts Administrator on a 12 month contract basis.As a contracts administrator your main duties will include:
- Receptionist duties such as answering the main incoming telephone line, re-directing incoming calls to the relevant person, meeting and greeting visitors and managing the door entry system.
- Offering drinks to visitors and making drinks for meetings when required.
- Ensuring that supplies of milk, sugar, tea, and coffee are replenished.
- Fire alarm call point check, weekly testing of fire alarm & arrange for fire evacuation drill.
- Check the defibrillator on a weekly basis
- Check the First-aid box to ensure supplies are replenished (3 monthly task)
- Emergency lighting check
- Fire Door check
- Head Office Fire Marshall duties – monitoring the fire IPAD
- Photocopiers - take meter readings, order toner & source new photocopiers when requested by the Finance Director.
- Dispose of used toner cartridges
- Co-ordinate moving photocopiers from different sites
- Order stationery ensuring the best price & carry out stock take for stationery
- Set up wi-fi and equipment when requested by the site team
- Electronic archiving, periodically reviewing items in the archive building
- Monitor and maintain all Head Office maintenance contracts, updating the maintenance spreadsheet.
- Assist with the company social media posts
- Assist with updating the company website
- Check and maintain the drawing register, printing drawings
- Set up site files for new contracts
- Subcontractor inductions
- Labour returns
- Subcontractor training matrix report
- Chase missing subcontractor report
- Book staff training and update training matrix / training records
- Produce information to be included in the IMS report
