Personal Assistant

Woking

£35K - £40K per annum

My client is seeking an experienced Personal Assistant to join their team in Woking. Supporting both the CFO and Head of Legal you will be responsible for providing high-level PA support, including managing schedules, coordinating meetings, handling confidential information with discretion and assisting with various administrative tasks as required, ensuring flexibility and responsiveness. You will:

  • Draft, review, and refine a variety of documents, ensuring clarity, accuracy, and professionalism in all communications
  • Assist in organising meetings, including scheduling, preparing agendas, arranging venues, organising catering and ensuring all necessary materials and equipment are available
  • Compile and process expense reports, ensuring accuracy and compliance with company policies
  • Arrange travel, including flights, hotels, hire cars and transportation, ensuring cost-effectiveness and adherence to company travel policies
  • Coordinate the application and processing of travel visas for international trips, ensuring all documentation is accurate and submitted in a timely manner
  • Communicate effectively with colleagues across departments to facilitate seamless operations and address any issues promptly
  • Maintain a high standard of customer service, addressing enquiries and concerns from both internal team members and external partners professionally and efficiently
  • Arrange offsite scanning and storage of archived documents as required.
  • Assist other departments when required

The ideal candidate will:

  • Have proven experience in a similar support role
  • Have strong organisational and time management skills, with the ability to prioritise tasks
  • Be proficient in MS Office/Microsoft 365
  • Have a proactive, can-do approach to problem-solving with strong decision-making capability
  • Have the ability to build relationships with stakeholders, including colleagues, Board members, and external partners
  • Have excellent attention to detail

Working hours are Mon-Thursday 9am to 5.30pm with an hour for lunch, Friday 9am to 2pm.
