gap personnel Bristol are operating as an employment business and currently looking to recruit an Executive Assistant for our client based in Yate, Bristol, BS37. As an Executive Assistant, you will join a team where you will become a key and valued member assisting with the everyday essential administrative and secretarial duties to ensure day to day operational needs are achieved.
Job Responsibilities:
- General administration including document management, maintenance of electronic calendars, minute taking, report compilation and produce presentations.
- Provide assistance to the HR team with recruitment administration as and when required.
- Producing quarterly newsletter and CSR/charitable work communications.
- Coordinating and administer computer, mobile phone equipment and WhatsApp chat group tasks for new and leaving employees.
- Mobile phone contract management, being the key liaison both internally and with external bodies.
- Dealing with administrative activities to support operational projects
- Support and lead on designated business development projects including policy and procedure development.
- Identify and initiate improvement initiatives to administrative processes.
- Support the coordination of Health & Safety Committee and agreed actions.
- Manage DSE assessment compliance and eyecare vouchers administration.
- Coordinate and administer employee ID badge management.
- Support the Data Protection Officer ensuring delivery and communication on compliance with the law and best practice. (Full training can be provided where required).
The Candidate
- Have a minimum of 2 years proven experience within senior administrative/office manager or personal assistant roles at senior management level.
- Accomplished home worker with an appropriate home working space inclusive of reliable hispeed internet connection and good mobile phone connectivity.
- Have a thorough understanding and experience of undertaking a varied range of office administration tasks and duties.
- Be a competent computer user with a high level of experience with all MS office products.
- Good communication skills both written and spoken, also aligned to presentation skills.
- High level of attention to detail.
- Highly organised.
- Able to handle confidential matters with discretion and sensitivity.
- Mobile phone management experience would be ideal.
- GDPR compliance experience would be ideal.
