About the Role

The Executive Assistant is responsible for providing administrative support to various departments. This is a fast-paced role requiring exceptional discretion, flexibility, and professionalism. Key responsibilities include, but are not limited to:

  • Manage calendars, including scheduling, rescheduling, and prioritizing meetings across time zones; anticipate changes and proactively adjust logistics.

  • Coordinate internal and external meetings, including agendas, supporting materials, catering, and technology setup; may attend meetings to capture notes and prepare follow-up documentation.

  • Arrange domestic and occasional international travel, including flights, hotels, ground transportation, and itineraries; ensure seamless execution and timely updates.

  • Prepare and submit expense reports in compliance with company policy; track reimbursements and resolve discrepancies.

  • Draft, edit, and format emails, memos, presentations, and reports using Microsoft Office Suite (especially Outlook, PowerPoint, and Excel); ensure accuracy, professionalism, and alignment with executive tone.

  • Serve as a liaison between internal teams and external stakeholders; manage communications with discretion and professionalism.

  • Welcome and host guests and visitors; coordinate logistics for visiting executives, clients, and partners.

  • Support ad hoc initiatives and cross-functional projects as assigned; conduct research and assemble materials for executive briefings and presentations.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or related field.

  • Minimum of 5 years of experience as an Executive Assistant providing support to multiple people, ideally within financial services , IT, or professional services.

  • Must be located in Chicago, IL surrounding area or willing to relocate for the duration of employment.

  • Willingness to adapt and thrive in a blended work environment with 3-days in office, seamlessly transitioning between remote work and in-office operations.

  • Flexibility to extend working hours as needed to meet the on-call demands of senior leadership, including after-hours communication and coordination.

  • Advanced proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, and Excel.

  • Proven ability to manage multiple priorities in a fast-paced, high-pressure environment.

  • Strong written and verbal communication skills with high level of integrity, discretion, and professionalism.

  • Must be legally authorized to work in the United States without need for employer sponsorship now or in the future.

The estimated base salary range for this position is $90,000 – $115,000 per year. This range reflects a good-faith estimate of the base salary Ventas reasonably expects to pay at the time of posting. Actual base pay will be determined based on work location, skills, qualifications, relevant experience, and business needs.

In addition to base salary, this role is eligible for discretionary incentive compensation and a comprehensive benefits package, which includes medical, dental, vision, retirement savings, paid time off, and other wellness benefits under applicable plan terms.
