About the Position

Power Design is seeking a highly organized, proactive Executive Assistant to support the Vice President of Learning & Development. This role is more than administrative—it’s a strategic partnership that helps drive priorities, streamline operations, and ensure our Learning & Development initiatives run seamlessly.

The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, detail-obsessed, tech-savvy, and enjoys working behind the scenes to make a big impact across a growing organization.

Position Responsibilities

  • Manage and prioritize a complex executive calendar, coordinating meetings, travel, and commitments aligned with business priorities.
  • Prepare agendas, presentations, and briefing materials for leadership meetings and strategic initiatives.
  • Coordinate logistics for training programs, workshops, leadership sessions, and team events.
  • Track project timelines, deliverables, and follow-ups across Learning & Development initiatives.
  • Support budget tracking, vendor coordination, and invoice processing.
  • Maintain organized systems for documentation, reporting, and knowledge management.
  • Draft, edit, and format communications, presentations, and reports.
  • Serve as a key liaison between the VP, L&D team, and cross-functional partners.
  • Assist with collecting and preparing data for reports, dashboards, and leadership updates.
  • Handle confidential information with professionalism and discretion.
  • Identify opportunities to improve processes and enhance operational efficiency.

Here’s What We’re Looking For

  • 5+ years of experience supporting senior leaders in an executive or administrative capacity, preferably in HR, L&D, or a people-centric function.
  • Associate’s level degree or higher required
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills with a polished, professional presence.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word), Teams, and collaboration tools.
  • Ability to anticipate needs, think ahead, and solve problems independently.
  • High level of discretion and integrity when handling sensitive information.
  • A collaborative mindset and passion for supporting people and teams.
  • Familiarity with SharePoint, LMS platforms, project tracking tools, or reporting dashboards is a plus
