The Service Writer acts as the communication bridge between customers, rental operations, and the service department. This role is responsible for writing service orders, coordinating repairs and maintenance, tracking equipment status, and ensuring excellent customer service. Key Responsibilities: Serve as the primary point of contact for all service-related inquiries from internal teams and customers. Open, maintain, and close work orders for rental and customer-owned vacuum trucks or equipment. Schedule and coordinate preventive maintenance, repairs, and inspections. Communicate effectively with service technicians, parts personnel, and management to ensure accurate and timely service completion. Document all repair and maintenance activities with clear descriptions and cost breakdowns. Monitor service progress and keep stakeholders informed of job status and expected completion times. Ensure proper warranty documentation and submission for eligible equipment repairs. Maintain accurate service records and help with data entry into fleet management systems (e.g., Trak Quip, Hapy Fox, TMT, RMI, or similar). Assist with parts ordering and inventory tracking when needed. Uphold safety and quality standards in all communications and processes. QualificationsQualifications: High school diploma or equivalent required; associate’s degree or technical training preferred. 2+ years of experience in a service writer, service coordinator, or related role, preferably in the heavy equipment, trucking, or rental industry. Knowledge of diesel engine and heavy equipment repair processes is highly preferred. Strong computer skills; experience with service management software a plus. Excellent communication, organizational, and multitasking skills. Ability to read and interpret equipment manuals, service orders, and technical documents. Customer service mindset with the ability to remain professional under pressure. Self-Motivated with minimum supervision Knowledge of Word & Excel programs Working Conditions: Office-based with regular interaction in shop and yard environments. May require wearing PPE and walking around equipment for inspections. Monday to Friday, with occasional overtime or weekends as needed. Preferred Experience: Experience with Vacall, Ledwell, Huber, IBAK, or similar brands. Familiarity with DOT regulations and equipment compliance standards. Bilingual (English/Spanish) is a plus.
