Job Purpose
The Administrative Assistant will support the Operations, Project Coordination, and Office teams by assisting with administrative coordination, invoicing, scheduling, vendor management, equipment tracking, and general office organization.
This role plays an important part in helping maintain organization, communication, and efficiency throughout daily company operations. The ideal candidate is dependable, proactive, organized, and capable of managing multiple responsibilities simultaneously.
Job Responsibilities
Administrative & Project Support
路 Assist Project Coordinators and Project Managers with daily administrative tasks
路 Organize and maintain digital and physical files, records, and project documentation
路 Answer and direct incoming phone calls and emails professionally
路 Assist with preparing reports, spreadsheets, and internal documentation
路 Support general office operations and workflow organizations聽
路 Maintain accurate digital and physical records
Invoicing & Financial Coordination
路 Assist with customer invoicing and billing preparation聽
路 Enter and track purchase orders聽
路 Assist with vendor setup and vendor information entry聽
路 Organize receipts and expense documentation
路 Support the tracking of project-related expenses and job costs聽
路 Assist with credit card reconciliation and invoice organization聽
Scheduling & Travel Coordination聽
路 Schedule and coordinate travel arrangements for field crews and management聽
路 Book flights, hotels, rental cars, and travel accommodations
路 Coordinate meeting schedules and appointments聽
路 Assist with maintaining project calendars and scheduling update
Equipment & Rental Tracking
路 Track company equipment rentals and returns聽
路 Maintain rental logs and related documentation聽
路 Monitor auto rental reservations and usage聽
路 Coordinate with vendors regarding rental equipment and service needs
路 Assist with tracking company assets and equipment records
Office Management & Organization
路 Monitor office supply inventory levels
路 Order office supplies and maintain organized supply storage areas
路 Ensure office areas remain organized and stocked appropriately聽
路 Assist with maintaining administrative procedures and organizational systems
路 Support process improvements to increase office efficiency
Requirements
聽聽Qualifications
路 Previous administrative, office, accounting, or project support experience preferred
路 Construction, industrial, or operations experience is a plus
路 Strong organizational and multitasking skills
路 High attention to detail and accuracy聽
路 Excellent communication and customer service skills聽
路 Ability to prioritize tasks in a fast-paced environment
路 Self-motivated with strong follow-through and accountability
