Position Overview
The Office Manager serves as the operational backbone of the office and the “Director of First Impressions” for Tuckernuck. This role ensures that our workplace runs smoothly day-to-day while creating a welcoming, organized, and engaging environment for employees, candidates, and visitors.
The ideal candidate is a proactive problem solver with exceptional organizational skills, strong attention to detail, and a passion for creating a positive workplace experience. This person will oversee office operations, manage vendors and supplies, support employee onboarding logistics, and help coordinate internal events and team gatherings. As the company continues to grow, the Office Manager will also play an important role in supporting workplace planning and office expansion initiatives.
This role requires someone who thrives in a fast-paced environment, exercises discretion with sensitive information, and takes pride in creating a polished and well-run office.
Core Responsibilities
Front Desk & Office Experience
- Serve as the first point of contact for the office by greeting visitors, candidates, and vendors and managing incoming calls.
- Maintain a welcoming and professional front-of-house experience for employees and guests.
- Manage conference room reservations and support general office scheduling needs.
- Coordinate incoming and outgoing mail, packages, and deliveries.
Office Operations & Vendor Management
- Oversee day-to-day office operations, ensuring the workplace is well organized, stocked, and functioning efficiently.
- Manage office vendors including cleaning services, building management, IT partners, and maintenance providers.
- Monitor office supply inventory and kitchen stocking for both office floors while identifying cost-saving opportunities.
- Track office-related expenses and shipping costs and recommend operational improvements where possible.
Workplace & Office Logistics
- Support onboarding logistics for new employees, including workspace setup and coordination with IT.
- Partner with HR to ensure new hires have a smooth and welcoming first-day experience.
- Assist with office space planning and logistics as the company continues to grow, including coordinating vendors and supporting office buildouts or expansions.
Employee Engagement & Events
- In partnership with HR, coordinate office events, team gatherings, and internal celebrations that support Tuckernuck’s culture.
- Manage catering logistics for in-office meetings, events, and company gatherings.
- Lead logistics for employee sample sales, including event setup and breakdown, managing sign-up sheets, and coordinating overall event execution.
- Help foster a positive and engaging workplace environment for employees.
Administrative & Cross-Functional Support
- Provide administrative support to leadership and cross-functional teams as needed.
- Plan and orchestrate work to ensure priorities are met, organizational goals are achieved, and best practices are upheld.
- Support special projects related to workplace operations and employee experience.
- Other administrative requests from Executive leadership from time to time.
Minimum Qualifications
- At least 5-8 years of experience in an administrative role, office management, or workplace operations role.
Knowledge/Skills/Abilities
- Exceptional organizational and time management skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- High attention to detail and a proactive, problem-solving mindset
- Ability to maintain discretion and confidentiality
- Proficiency in Google Suite, and office productivity tools
- Comfortable coordinating vendors and managing operational logistics
- Flexible team player who enjoys supporting a dynamic and growing organization
