Cawder Golf Club in Bishopbriggs is one of the top golf clubs in the Glasgow area with two eighteen-hole courses providing an excellent facility for our members and visitors.

A vacancy has now arisen at the Club for an Administrator/Office Support who will play a pivotal role in supporting the day to day running of operations at Cawder Golf Club.

Position:  Golf Club Administrator / Office Support. This will be based in the office at the Club.

Main Purpose of Job: 

To be responsible for attending to all day-to-day enquiries from members and visitors as well as supporting the back-office / General Manager. As the job requires dealing with members and visitors, it is important to have a friendly personality and good communication skills which will project the image of the Club in the best possible way. You will act as the initial face of the Club towards members, visitors, contractors and suppliers. The holder will also be responsible for the principal administration tasks in relation to fees and the course fixtures being managed through the V1 System.

Liaison: 

You will have regular contact with the members, the department heads (greens, house and accounts) and the Club’s Committee Members. You will report directly to the General Manager. 

Salary:  The salary for this position will be £24,000 

Position availability: This is a fulltime position. Contractual hours are 35 hours per week.

The successful candidate will also receive ‘freedom of the course’ rights if requested. This allows full access to course bookings and competitions but does not include all membership rights.

• Normal attendance will be Monday – Friday 9:00 am until 16:30 pm and perhaps one Saturday per month 9:00 am until 1:00 pm (not exceeding contractual 35 hours per week in total). An earlier finish on a Friday will be possible with changes to the hours during the rest of the week.

• Precise timings will be agreed with the successful candidate.

• Flexibility in working arrangements will be required particularly at a time of major competitions and events. 

• Equally, personal flexibility will be considered in line with good employment practice.

Main Job Scope: 

• Undertake general office duties including responding to correspondence, answering the phone, taking enquiries efficiently and handling member’s general day-to-day requests. 

• Be the principal management function of the Club’s membership management. This includes fee collection, set up and changes to membership categories, resignations etc. a key deliverable of this important function is to ensure the Club’s membership records are up to date.

• Will undertake most of the Club’s social media posting and website content updates and promotions. Will consider ways to assess the effectiveness of the Club’s social media and suggest changes / adjust accordingly. Contribute to the development of the Golf Club’s marketing plan and later implementation. 

• Process new membership applications, arrange all required interviews and post-process the application depending upon interview result. 

• Initial contact for visiting parties and then responsible, in conjunction with other staff members for the delivery of these.

• Support the office / General Manager in ad-hoc duties that may arise during the day. 

• Maintain logs of the Club’s current policies, operational contracts together with their respective renewal dates so that everything is kept fully up-to-date. Support the General Manager with the forthcoming development projects (admin side). 

Required candidate attributes: 

• Presentable, polite and respectful (to both members and visitors). 

• Approachable with good communication skills 

• Have a basic understanding of the sport of golf.

• Must have good IT skills and full knowledge of MS Office.

• Must have a good knowledge of social media platforms and using social media. Able to quickly learn how to update the Club’s website. 

• Should have a structured approach to handling tasks and be able to handle multiple queries simultaneously. 

• Will be expected to quickly learn the Club’s core management system, Club V1 and become proficient in using it. 

Considerations:

• A good standard of spoken and written English is critical. 

• A clear willingness to learn and develop and work to improve the Club’s systems.

• Willing to undertake basic or advanced Health and Safety, First Aid (H&S) training and then be able to provide basic H&S at the Club if ever needed.
