Property Administrator

Salary: £22k - £23k DOE + company benefits

If so, I have a great opportunity for a well organised administrator to help support the property manager based in in their offices in Brighton.

You will already have a proven administrative background, enjoy working in a busy environment, have a genuine interest in working within the property industry.

Responsibilities:

  • Assist the property managers by assisting with the service to landlords and leaseholders.
  • Dealing within incoming telephone calls and enquiries via phone and email.
  • Assist in the monitoring and processing legal compliances as directed by the property manager, booking in Gas safety certificates, fire risk assessments etc.
  • Manage the Excel spreadsheet for the service charge budget.
  • Assist and help administer Section 20 consultations for major works.
  • Assist the property manager in compiling replies to solicitor and surveyor with enquiries and other third parties as required.
  • Take initial enquiries from lessees relating to repairs and accounts.
  • Log and liaise with the with the landlords insurance broker and claims handlers.
  • Filing, scanning and ensuring the CRM system is updated accurately.
  • Take minutes of meetings and distribute them.
  • Send out welcome packs and carry out mail merges.
  • Attend AGM meetings to take minutes as required.
  • Process the distribution of service charge accounts to leaseholders and landlords.
  • Maintain correct contact information for landlords and leaseholders on Qube (CRM system).
  • Ensure that all clients receive outstanding customer service.

The right candidate will have the following skills and experience to apply:

  • Great communication and organisation skills.
  • Proven administrative background ideally within property.
  • Great IT skills inclusive of Word, Excel and using in-house CRM system.
  • A genuine interest in property and property management.
  • Excellent customer service skills.
  • Ability to pick up new things quickly and work well in a busy working environment.
