Permanent Medical Secretary Needed - Office Based in Crawley

Key Responsibilities:

Patient Coordination & Communication

  • Serve as the first point of contact for patient queries by phone, email or video call.
  • Manage new patient referrals and complete registrations, ensuring accurate data entry.
  • Coordinate appointment scheduling for multiple clinicians.
  • Communicate clearly and empathetically with patients, carers, and external professionals.

Administrative & Secretarial Support

  • Provide full secretarial support to psychiatrists, psychologists, and other team members.
  • Accurately transcribe and format clinical correspondence and medical reports (including audio typing).
  • Maintain up-to-date and confidential electronic medical records.
  • Process and manage incoming and outgoing correspondence with external bodies (e.g. GPs, insurers).

Business & Practice Operations

  • Issue and manage invoices, liaise with patients and insurers regarding billing queries.
  • Track and follow up on all new enquiries, aiming to improve conversion rates to active bookings.
  • Maintain accurate logs and reports for enquiry tracking and performance improvement.
  • Support day-to-day office management.
  • Collaborate with the wider administrative team to ensure smooth operation of the practice.

Compliance & Confidentiality

  • Ensure strict adherence to GDPR and confidentiality standards at all times.
  • Participate in mandatory CQC training courses as required by the practice.
  • A current DBS check is mandatory for this role (or willingness to obtain one).
  • Handle sensitive patient information with professionalism and discretion.

Requirements:

Essential

  • Previous experience as a medical secretary or administrative support in a healthcare setting.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and high attention to detail.
  • Comfortable with multitasking and working under pressure.
  • Proficiency with Microsoft Office and practice management systems.
  • Friendly, empathetic, and patient-focused approach.

Desirable

  • Experience in a mental health setting.
  • Audio typing skills and experience transcribing clinical dictation.
  • Familiarity with private medical insurance and invoicing systems.
  • Knowledge of or experience working within CQC-regulated environments.
