Location: Exeter

Hours: Full Time, Monday-Friday 9.00am-5.30pm

Salary: £28,000-£32,000 per annum DOE

The Company: A down to earth, independent engineering consultancy based in Exeter, with over 50 years' combined experience, who pride themselves on their level of service, quality of work, and communication with customers and clients.

The Role: As the Office Manager, you will join a team of 7 engineers and one office dog, in the friendly and vibrant open-plan office. Being highly organised and enthusiastic, the Office Manager will ensure the smooth running of this busy office.

You will play a key role in ensuring outstanding customer service, all important compliance guidelines are adhered to, and supporting the engineers by streamlining processes to provide a timely service to clients. You will keep on top of client invoices, issuing contracts and producing financial reports for the Director and accountants.

You will support the business through proactive problem solving and work closely with the Director and staff to provide innovative management of the team.

Key Duties

  • To look after the daily administration needs of the office
  • Creation of new projects on internal systems
  • Maintaining an organised electronic filing system
  • Customer service duties such as answering queries made by telephone, email or in person
  • Assigning quotes to the most appropriate engineer
  • Issuing contracts and invoices
  • Diary and inbox management
  • Credit control - issuing reminders and statements, contacting clients to resolve unsettled accounts
  • Bank reconciliation
  • Timesheet input using Xero
  • Petty cash
  • Administration of financial reports
  • Liaise and work alongside external HR with matters including staff holidays, H&S, performance reviews
  • Update website and maintain social media
  • Oversee and upkeep office supplies and equipment

About You

  • Previous accounts or finance experience beneficial
  • A good working level within all Microsoft packages
  • Experience with Xero beneficial, or similar finance software
  • Ability to multitask and prioritise
  • Proactivity and the ability to problem solve
  • Ability to work as part of a team
  • Be highly organised
  • Fun disposition and great sense of humour
