Stores & Purchasing Assistant - IT Managed Services -Guildford to £26K

We are working with a well-established, privately-owned IT & Telecoms Services company based in Guildford who have outstanding reputation for retaining, training and developing their staff and delivering innovative solutions to a wide range of customers.

Due to staff movements internally, we are currently recruiting for a Stores & Purchasing Assistant. In order to succeed in the role, Stores and Purchasing Assistant need to be a hands-on individual, able to work on their own initiative with a high level of attention to detail, who’s willing to take on a variety of jobs.

Based in the office on a full-time basis, you will be responsible for the smooth running of the stores, receiving deliveries in and sending parcels out, receipting and despatching of stock (typically servers, routers, switches & computing equipment), keeping stores tidy and ensuring all items are accounted for. You will also be responsible for biannual stock takes.

In addition to this, your role as Stores and Purchasing Assistant will involve regularly assisting with the purchasing of stock and other services, part number management, facilities management whilst also being willing to be trained to assist with various finance tasks when required.

Role & Responsibilities

  • Responsible for the smooth running of the warehouse by maintaining good order in the stores area, ensuring it is clean and tidy and keeping accurate stock records.
  • Receipting and despatching of goods in the accounting software
  • Ensure all documents related to stock movements are kept up to date & maintain a clear log of all items coming in and going out of the store areas.
  • To parcel goods safely and clearly for courier collection.
  • Run monthly stock reports from the accounting system and produce a stock reconciliation report for month end.
  • To run year end and mid-term stock takes.
  • Update notes on Sales Orders to notify other departments on the progress in both CRM and Sage.
  • Ensure the Stores area complying with Health and Safety requirements, and it does not pose any risks (keeping walkways clear etc.)
  • Arrange for collection for the weee bin equipment when needed
  • Assist with part number management (creating stock and miscellaneous part numbers in the system, amending, and deleting as necessary)
  • Monthly meter readings
  • Assist with incoming post
  • Keep stationary cupboard orderly and stocked with supplies and order other supplies for internal use as necessary (canteen refreshments, cleaning supplies, kitchen supplies etc.)
  • Assist in the management of contracts for in house services, security, cleaning, plumber, building repairs, car parks, air conditioning etc.
  • Assist with purchasing tasks on a regular basis (placing orders with suppliers, raising POs in the system, following up on delivery dates etc)
  • Support the other members of the finance team on a day-to-day basis and cover holidays when necessary.
  • Other finance tasks using Sage accounting software and Excel spreadsheets.
