Personal and Professional Qualities Required

The post holder will be the first point of contact for all prospective parents or Education Agents who telephone, email or visit the School, and often for parents and guardians in our boarding community. The Assistant Registrar role will involve taking Tours for prospective parents/pupils, and will often be the first point of contact via phone. A spontaneously warm, professional, welcoming and helpful manner is therefore essential, together with smart appearance and exemplary relationship management and verbal communication skills. 

As both the Assistant Registrar and PA to the Senior Boarding Housemistress, the successful applicant will also need to be a confident communicator in writing, efficiently handling e-communications and prioritising workload. He/she will be committed to recording data with accuracy, recognising its value to high-quality management of applications/relationships and will have good levels of stamina and a respect for confidentiality.

The ability to work both independently and in collaboration with colleagues as part of the Admissions Office and supporting the Resident Staff team is key.

Experience of working in a University or School Admissions environment or comparable front of house and fast-paced administrative environment would be preferable but is not essential. Experience of Marketing would also be advantageous but again is not essential.

Assistant Registrar

The successful candidate will support the Senior School Registrar and will also take on specific responsibility for the recruitment of Sixth Form pupils. There may be scope for the job to grow over time to take on additional specific areas of responsibility. The Sixth Form at the school, known as ‘The 6’, is a much sought-after option for young people from around the world and the local area and the School prides itself on admitting a group of outstanding new students at this level each year. Working with sixth form students and the staff who look after them is always exciting and rewarding.

Assisting the Senior Registrar with the following: Admissions Management - assisting in the general admissions procedures as directed by the Senior Registrar and deputising as required and when covering for his/her holiday periods. This will involve covering the above processes for applications other than for the Sixth Form and ensuring that he/she has up to date information to enable the updating of the School Roll.

Supporting Admissions events:

  • Preparing paperwork in advance of visits from prospective parents and arranging tour guides
  • Collate attendees and produce lists for Admissions events
  • Updating all records post Admissions event to note attendance
  • Follow up communications with Open Event attendees
  • Assisting the Senior Registrar at the New Girls Afternoon
  • Assisting the Senior Registrar with organising the Taster Morning for 11+ candidates, 11+ and the 12 &
  • 13+ Assessment Days, 11+ Offer Holders’ Evening working with the Marketing Coordinator.

Database Management and Administration:

  • Data entry and maintaining accurate records on the admissions database and SIMS of all recruited Senior School pupils.
  • Monitoring and processing of attendees for Open Events
  • Running analysis reports from the admissions database as required to inform marketing strategy in particular for Sixth Form applications

Marketing:

Attend the twice termly Marketing Meetings, presenting current data on Sixth Form registrations etc and contributing to the discussion around marketing strategy and initiatives. The responsibility for marketing, however, falls with the Marketing Director and the Marketing Officer. Terms

This is a full-time year-round position. Full time working hours are 8.30am to 5.30pm Monday to Friday with half an hour for lunch during the term time and days either side of term beginning and ending. During the school holidays working hours are 9.30am to 4.00pm Monday to Friday with an hour lunch break. The role will require continuity and daily attendance, working all year round. Helping with Open Days or occasionally representing the school at exhibitions and other events outside of normal hours may occasionally be required. There is scope for discussion of the extent of the role during the holiday periods and some possibility of working from home during those weeks, too.

Accommodation

Accommodation on site may be available in return for boarding duties. Opportunities can be explored at interview.

Remuneration

Salary will be based on the school's Administration Salary Scale and will be commensurate with the qualifications and relevant administrative experience of the candidate and will include the requisite responsibility allowance for the role.

The post offers medical insurance cover which is a taxable expense.

Other Benefits

A fees concession of 50% is offered for the education of daughters of full-time members of staff, if a place is available and the girl passes the entrance examination. For part-time staff any fee concession is calculated on a pro rata basis.
