Are you an organised multitasker with a passion for delivering outstanding customer service? Due to internal promotion, my client has a position for an Office Administrator to join its dynamic team and become an integral part of its service and maintenance department!
Your main mission will be to ensure the smooth operation and administration of the service and maintenance department. From managing client inquiries to scheduling appointments and overseeing job costing, you'll be at the heart of it all. This is a role that offers variety, responsibility, and the opportunity to make a real impact.
As the Office Administrator you will:
- Act as the first point of contact for servicing inquiries, providing exceptional customer service and ensuring timely appointments.
- Collaborate with service engineers and clients to ensure jobs are accurately planned, booked, and executed.
- Maintain and oversee CRM records, including job notes, technical surveys, and pricing.
- Manage the service reminder process to ensure annual services are scheduled efficiently.
- Handle the ordering and costing of plumbing and heating materials, balancing quality and cost.
- Liaise with suppliers and the team to ensure smooth operations.
Skills and experience needed for the Office Administrator include:
- Excellent organisational skills and attention to detail.
- A proactive problem-solver with the ability to juggle multiple tasks.
- Strong communication skills to interact with clients, suppliers, and the service team.
- Experience with CRM systems and an ability to maintain accurate records.
- Knowledge of plumbing/heating materials (advantageous but not essential).
- A team player who can adapt in a fast-paced environment.
