Our client is an established organisation within the financial services sector, and they are looking for a Personal Assistant to join their team on a 12 month Fixed Term Contract.

The role will suit an experienced PA with a varied and transferable skills.

Salary: £32,000 - £37,000pa, depending on experience.

Hours: Monday to Friday 9am to 5.30pm. Some flexibility may be required.

Location: Fully office based in LS1

The role:

  • Providing a high level support service across the team to ensure work and activities are managed and organised in a pro-active way.
  • Extensive diary management to include responsibility for travel arrangements, meeting facilities and other associated activities.
  • Produce research material and analysis using online information providers.
  • Accurate and timely preparation of all materials using the most appropriate format in Outlook, Word, Excel, PowerPoint and other relevant software.
  • Proof reading documents, as required.
  • Administration support, including processing of expenses, invoices and coordination of audit documentation.
  • Organising marketing events. Overseeing the planning and booking of all requirements and producing and maintaining guest lists.
  • Maintaining work in progress database on a weekly basis.
  • Assisting in the ongoing evaluation of all relevant LDC systems and procedures to ensure best practice and adherence to policy and procedures
  • Using the meeting room booking system to ensure that meetings are managed appropriately.
  • Anticipating what materials will be needed for meetings i.e. presentations, refreshments, lunch etc.
  • Setting up meeting rooms and providing front of house service as appropriate.
  • Telephone management - answering calls, taking and passing on messages and responding to queries wherever possible.
  • Collating stationery and provisions and placing orders to fulfil.

About you:

  • A friendly individual with excellent communication skills, who is able to build relationships quickly.
  • Ability to be flexible on working hours.
  • Ability to prioritise tasks and juggle conflicting deadlines.
  • Ability to organise while paying close attention to detail.
  • Self-starter with a proven ability to use their initiative.
  • PA/EA/secretarial background - essential.
  • Good grammar and written English.
  • Able to prioritise own workload effectively.
  • Proven ability to multi-task and self-initiate value-adding tasks
  • Excellent and demonstrable knowledge of Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
