We are seeking an Executive PA to provide high-level professional, confidential secretarial and administrative support to executive-level staff. This role is crucial in assisting our Directors in leading the organisation effectively, requiring a proactive approach and excellent judgement skills.

Day-to-day of the role:

  • Provide specialist support to Directors, managing urgent enquiries and using judgement to address queries appropriately.
  • Assist in the commissioning, coordinating, and proofreading of reports, briefings, and other materials for Directors and other senior officials.
  • Manage the Director’s inbox, prioritising emails, responding, delegating, or drafting responses as necessary.
  • Handle the Director’s diary, resolving scheduling conflicts, and organising deputies when necessary.
  • Prepare Directors for meetings by providing relevant papers and briefing notes.
  • Act as a professional secretariat to meetings, preparing agendas, taking accurate minutes, and ensuring follow-up actions are completed.
  • Ensure efficient coordination, communication, and liaison between the Directors, colleagues, and external sources concerning meetings.

Required Skills & Qualifications:

  • Experience working with sensitive and confidential issues, requiring discretion.
  • Approachable with excellent interpersonal skills, able to influence when necessary.
  • Demonstrates a positive attitude towards challenging objectives, with perseverance and dedication to achieving goals.
  • Flexible attitude, able to adapt rapidly to changing situations and priorities, and cope with unclear situations and tight deadlines.
  • Extensive expertise in MS Office, particularly in formatting reports and presentations.
  • Ability to work proactively and autonomously, demonstrating strong organisational skills with attention to detail.
  • Solution-focused, with the ability to resolve complex issues.
  • Knowledge and expertise in prioritising workloads and managing deadlines to meet the Directors’ and organisation's requirements.
  • Experience of attending meetings and providing confidential Board-level support.
  • Demonstrable ability of building and maintaining positive working relationships with senior stakeholders, colleagues, and partners.
