Our prestigious independent chartered surveying client in looking for a Leasehold Property Manager to work from their Clifton office. This is a hybrid role and the applicate would ideally have experience for this position.

Job Description:

A successful independent chartered surveying firm in Bristol are looking for a Block/Property Manager to join their expanding existing team in Clifton, Bristol.

The role will involve dealing with day-to-day management queries, maintenance issues for the managed portfolio of residential properties and will include inspecting properties, liaising with leaseholders/residents and arranging for contractors to carry out works on properties. Properties manage consist of purpose built and converted residential blocks. Clients range from freeholders, developers and Residents Management Companies.

This role is ideally suited to an upbeat and self-motivated individual who can take ownership of matters and has a keen eye for detail. The ideal candidate for the role will have at least 2 years’ experience in this type of position.

Duties/Responsibilities:

  • Dealing with day-to-day property management queries
  • Undertaking inspections at various residential properties across the Greater Bristol area
  • Database management, being responsible for overseeing those schedules/reports are updated and completed
  • Answering telephone enquiries and processing as appropriate, undertaking follow-up calls
  • Provide reports, feedback and communication on a regular basis with the client and to ensure reporting deadlines are met
  • Monitoring requests for repairs and maintenance from tenants or landlords, making sure they are all dealt with quickly and efficiently
  • Oversee the instructing of contractors for works of minor repair and/or maintenance, supervise works as required, ensuring invoices are correct and duly sent to accounts for payment
  • Manage service providers/contracts and monitor performance
  • Diary Management of critical dates such as lease expiries and health & safety testing
  • Periodic inspections of the properties to ascertain repair and condition, as well as ensuring contractual and statutory compliance
  • Ensure that all properties managed are insured including dealing with all claims, renewals and enquiries regarding the policy
  • Prepare service charge budgets and obtain approval from clients when necessary in advance of deadlines
  • Approving and signing-off service charge expenditure and ensuring all works are within financial limits

Key Skills:

  • Excellent communication and interpersonal skills, with ability to meet with clients and chair meetings (as required)
  • The ability to empathise and understand clients, leaseholders’/residents’ objectives and drivers to provide excellent customer service
  • The ability to review any given situation, analyse options, make recommendations and present to clients
  • The ability to prioritise and proactively manage workload, as well as working under pressure
  • Work under own autonomy
  • A positive 'can do' attitude professional approach and personable manner as well as confidence 
  • Demonstrate initiative and be an adaptable team player with a flexible approach and sense of humour
  • Have a meticulous attention to detail
  • Have an outgoing personality with a passion for customer service
  • Demonstrate first class administrative skills
  • Previous experience in the residential property environment
  • Access to own car for business use (business mileage paid by Company)

Other Desirable Attributes (but not imperative):

  • Familiar with checking-in and referencing of tenants, as well as dealing with deposits
  • Ability to network and business generate
  • Ideally have previous experience in the commercial property environment

Qualifications:

  • Current UK Driving License
  • Good standard of general education
  • Have a good knowledge of MS Office and property management software packages 
  • Property related qualification desired but not essential
