Admin Assistant

Are you an organised and detail-oriented individual who is highly proficient with IT systems and applications? London Fire Brigade, one of our largest public sector clients are looking for an Admin Assistant to join their team. In this role, you will play a crucial part in managing safety event data and supporting the brigade’s local accident investigators (LAI) to ensure accurate and timely reporting.

Contract Duration: 3-month contract, full-time, Monday to Friday, hybrid work (3 days in the office)

Location: Southwark

Pay rate: £20.07 per hour via PAYE or £26.00 per hour via Umbrella

Key Responsibilities:

  • Data Management: Oversee and maintain consistent safety event data and evidence. Ensure all reports are concise and accurate within set deadlines.
  • Documentation: Compile relevant documentation for safety event investigations, including statements, driver records, and more. Reach out to relevant parties for additional information when needed.
  • System Maintenance: Develop and maintain administrative systems using IT applications. Keep the safety event electronic system up to date and ensure information consistency.
  • File Organisation: Ensure paper files are in sequential order and prioritise the use of electronic files.
  • Investigation Support: Assist the Safety Accident Investigator (SAI) during higher-level investigations as agreed with your manager.
  • Communication: Draft correspondence, reports, and briefing notes for both formal and informal communication to support the safety event process.
  • Research: Conduct research and provide concise summaries of findings for senior management.
  • Performance Monitoring: Contribute to the development, implementation, and review of performance targets for the team. Monitor and ensure compliance with corporate and local performance standards.
  • Information Security: Ensure information from manual and computer-based filing systems is provided in the desired format and safeguard equipment and data against damage and confidentiality breaches.
