This is an exciting opportunity for a Admin Assistant to join a leading building services maintenance company on one of their exciting contracts near Aldgate. Main Duties

  • Raise and Close Quotations and Job SheetsPrepare, issue, and finalise all quotations and job sheets as required.
  • Review Timesheets and Track WagesMonitor timesheets and ensure accurate tracking for job progress (JP) and employee wages.
  • Filing and Administrative SupportMaintain organized and up-to-date filing systems while safeguarding confidential information.
  • Manage Parking Fines and Vehicle ComplianceHandle payment or appeals for parking fines on all registered vehicles, manage vehicle tax, and set up parking apps for staff as needed.
  • Procurement and Purchase Order ManagementRaise purchase orders, procure materials and supplies from suppliers (including online), follow up on delivery schedules, and coordinate delivery notifications with relevant departments.
  • Office Supplies and Facility MaintenanceEnsure consistent stock and upkeep of stationery, office water, Docmail credits, and boardroom supplies.

  • Generating purchase orders and tracking procurement processes
  • Strong computer literacy and software proficienc
  • Solid numeracy and literacy skill
  • Financial awareness and attention to cost control
