An established and growing property development and investment company based in the West End of London is seeking a highly organised and proactive EA to support the Managing Director.

This varied role involves managing the MD's diary and inbox, arranging meetings, assisting with invoicing, liaising with the bookkeeper, checking payroll, and carrying out AML checks.

The ideal candidate must be an experienced EA with a strong background in the property sector, confident in managing multiple responsibilities and working independently.

Duties Include:

  • Proactively manage the Managing Director's diary and email inbox, including responding to emails and handling communications independently.
  • Coordinate internal and external meetings, attend meetings as needed, take minutes, and follow up on actions.
  • Draft correspondence, including emails and letters, on behalf of the Managing Director.
  • Maintain and update internal databases and CRM systems, utilising software such as Office 365 and SharePoint.
  • Prepare sales invoices and payment applications and liaise with the external bookkeeper for invoice payments and account reconciliations.
  • Oversee payroll checks, manage staff expenses and commission payments.
  • Conduct Anti-Money Laundering (AML) checks as required.
  • Manage electronic and paper filing systems effectively.
  • Arrange travel and accommodation when necessary.
  • Ensure the smooth running of the office, including managing supplies, IT matters, and organising repairs or maintenance as needed.
  • Oversee onboarding and training for new staff and maintain accurate attendance and absence records.
  • Build and maintain strong relationships with clients and suppliers.
  • Ensure the company website is regularly updated and reflects the business accurately.
  • Provide occasional support with the Managing Director's personal matters and associated businesses.

Experience Required:

  • Minimum of 4 years experience as a C-level EA/PA
  • Experience in the property industry
  • Knowledge of AML procedures
  • Excellent command of Outlook, Microsoft Word and Excel
  • Organisational and multi-tasking skills
  • Ability to work in a fast-paced sales environment and to think on their feet
  • Self-starter/shows initiative
