A leading US law firm based in central London is offering an exciting opportunity for an Executive Assistant (EA) to join their team. This position supports a Senior Partner in the transportation team.

Initially a 12-month fixed-term contract (FTC), the role has the potential to become permanent. The Senior Partner is highly active, frequently traveling between London and various overseas offices, necessitating a high degree of organizational support.

Key Responsibilities

  • Travel Coordination: Manage all travel arrangements, including booking taxis, accommodation, and handling expense forms.
  • Meeting Arrangements: Organize conference calls, meetings, video conferences, and catering services.
  • Client and Matter Management: Assist in opening new client accounts and matters, ensuring compliance with Know Your Customer (KYC) and Anti-Money Laundering (AML) processes.
  • Document Preparation: Create PowerPoint presentations and Excel spreadsheets, and draft simple correspondence.
  • Billing Support: Monitor the billing process using 3E software, communicate with clients and outside co-counsel regarding fees, invoices, and handle ad hoc queries.

Required Qualifications

  • Educational Background: A minimum of 5 GCSEs (or equivalent), including English and Maths.
  • Professional Experience: At least 4 years of EA experience in a corporate or professional services environment.

  • Billing Expertise: Experienced with complex billing processes.
