Overview:A leading financial services organisation in London is seeking a proactive and highly organised Executive Assistant to support a team of senior and junior bankers within the Global Capital Markets division. This is a 12-month contract position with potential to extend to 22 months. This role is suited to a skilled administrative professional who excels in fast-paced, client-facing environments.
Key Responsibilities:
Administrative Support

Serve as a key liaison for internal stakeholders and occasionally external clients, fostering effective working relationships across departments

Maintain and update client contact information in internal systems

Coordinate internal and external meetings and conference calls with efficiency and attention to detail

Provide telephone coverage for senior banking teams when required
Diary Management

Effectively manage complex calendars, anticipating and resolving scheduling conflicts proactively

Act as a primary gatekeeper for meeting requests, particularly for VP-level staff

Ensure calendars are optimised for productivity, using initiative to rework scheduling challenges
Travel & Expenses

Arrange and manage all travel logistics, including flights, accommodation, transportation, and visa processing

Prepare detailed itineraries and ensure all arrangements align with company travel policies

Accurately process expense reports using internal systems such as Concur and SMAART, ensuring timely submission and policy compliance

Assist with expense management for Senior Advisors and follow up on outstanding claims
Additional Support Functions

Maintain data integrity in client relationship management (CRM) systems

Assist with event coordination, such as client dinners and team-building activities

Handle miscellaneous tasks such as ordering business cards or supporting administrative projects

Collaborate with the assistant team to provide consistent coverage during breaks, holidays, and absences
What You'll Bring:

Demonstrated experience supporting senior-level executives in a corporate environment

Strong prioritisation, multitasking, and organisational skills

Clear and confident communicator with excellent interpersonal abilities

Proficient in Microsoft Office, especially Outlook; experience with Zoom is a plus

Familiarity with Concur or similar expense processing tools
