Our client, a non-profit organisation, is seeking a dynamic and motivated Executive Team Assistant to join their team in Westminster, London. As a key member of their Investment Services Management team, you will play a crucial role in supporting the organisation's business operations and engagement activities.

You will have the opportunity to work closely with senior leaders, assist in organising key meetings, and contribute to the development of engaging team activities. This role requires excellent organisational skills, attention to detail, and the ability to multitask effectively.

What you will be doing…

�? Business Support:

  • Assist the team in organising and managing various business management activities
  • Coordinate the annual preparation of the 'year plan,' keeping it up to date on a monthly basis
  • Organise regular Investment Services management team meetings, including developing agendas and publishing meeting materials
  • Help plan and organise quarterly offsite meetings for the team
  • Coordinate onboarding and induction activities for new joiners
  • Ensure effective management of diaries, coordination of team events, and booking of desks and meeting rooms

�? Engagement Activities:

  • Develop and implement a team engagement plan
  • Integrate operational engagement into the wider Investments engagement plan
  • Establish mechanisms to capture action points and analyse team feedback
  • Assist in developing a diverse range of engagement activities based on feedback
  • Organise the team event calendar in collaboration with various teams

�? Presentations and Communications:

  • Manage the production of a weekly/bi-weekly Investment Services news bulletin for the team
  • Support the development of presentations for significant events and ensure relevant papers and materials are accessible
  • Maintain and update operational induction and orientation materials
  • Assist in managing team Wiki's, sharepoint, and other information management systems

�? Operational Delivery:

  • Support the production of monthly MI reporting and dashboards
  • Undertake internal 'secondments' into different teams to build knowledge and experience
  • Contribute to team discussions, resolve issues, and progress key work items
  • Assist in delivering various projects to enhance operational efficiency

To be successful in this role you will have…

  • 1-2 years' experience in an asset management organisation
  • Proven administrative and organisational experience, including diary management
  • Ability to adapt to changing priorities and engage with diverse stakeholders
  • Experience in event planning and programme management
  • Strong proficiency in Microsoft Office Suite and information management systems
  • Excellent relationship-building and networking skills
  • Good numeracy and technical capabilities
