We are a specialist consultancy helping UK nationals obtain Spanish Non-Lucrative Visas.
We require a reliable and detail-oriented part-time Secretary / Administrative Assistant to handle the processing and forwarding of client documents in the UK.
This role is ideal for someone with strong organisational skills who can manage sensitive paperwork, liaise with professional partners (notaries, translators), and ensure that client cases are handled accurately and securely.
Key Responsibilities
- Receive client documents (by re-directed post to your home via a designated virtual office address).
- Open, log, and track incoming paperwork.
- Scan or photograph documents for internal records.
- Prepare and forward documents to notaries and translation partners.
- Receive returned documents, check for completeness, and forward them to the next stage.
- Package and dispatch final document packs to clients via Royal Mail Special Delivery.
- Maintain accurate logs of all documents handled.
- Communicate with the Managing Director and escalate any issues or delays.
- Maintain confidentiality and comply with GDPR requirements.
Essential Skills & Experience
- Previous experience in administrative or secretarial work.
- Excellent attention to detail and organisational skills.
- Ability to handle sensitive documents securely.
- Strong communication skills (email and phone).
- Comfortable using printers, scanners, and basic office software.
- Trustworthy, discreet, and reliable
Desirable (but not essential)
- Experience with legal, immigration, or document-handling work.
- Familiarity with notary and translation processes.
- Based within easy reach of a Post Office branch.
Working Hours
- Flexible, task-based rather than fixed hours.
- Average of 4–5 hours per client file (approx. 4–8 clients per month initially).
- Workload may increase as the business grows.
Compensation
- £30 per hour (freelance/contract basis).
- Paid monthly on receipt of invoice.
- Reasonable postage and stationery expenses reimbursed.
