We are seeking a highly motivated Administrator to join one of the largest transport organisations in London. This temporary ongoing, full-time role will be office-based and involves providing effective and efficient administration of all driver, operator and vehicle licensing administration functions within the London taxi and private hire directorate.

Key Information:

  • Location: Stratford (fully office-based)
  • Hours: 35 hours a week, Monday - Friday
  • Hourly Rate: £15.31 per hour
  • Contract Duration: 6 months
  • Start Date: ASAP

Key Accountabilities:

  • Delivery of the day to day licensing administration functions in an effective and efficient manner including:
  • Opening, logging and scanning post received by the customer contract centre and allocating the correspondence to the correct team within the licensing team within a timely manner to support the licensing processes. This will include the accurate recording and processing of enquiries and complaints received through other channels such as email;
  • Providing efficient and effective telephone cover through an organised rota within the customer contact centre ensuring all customer calls are answered and dealt with professionally. This will include providing information and advice on the status of applications, exemptions, refunds etc.
  • Issuing relevant documentation to customers, such as new and renewal application packs, medical forms etc. within a timely manner.
  • Processing and checking driver and operator new and renewal licence applications in accordance with defined criteria, including the accurate processing of payments in a secure manner, ensuring that all required documentation complies with specified, legal requirements and that customers are kept informed of the progress of their application;
  • Processing of other licence support functions such as one year medicals, exemptions, knowledge applicants, licence surrenders etc in accordance with the relevant business rules or processes. Processing applications for refunds and exemptions in accordance with the defined business rules.
  • Manage operator requests for variations to existing operating centres or the addition / removal of operator centres in accordance with the business rules.
  • Issuing or refusing new and renewal driver and operator licenses line with taxi and private hire business rules and escalating cases which fall outside of these defined rules for a prompt decision;
  • Maintaining both paper and computer records to accurately record personal data and licensing history in accordance with the TPH data retention policy and storage requirements.
  • Acting as a registered Criminal Records Bureau (CRB) counter signatory when required.
  • Collation and maintenance of management information statistics as requested.
  • Where required, prepare required paperwork for possible prosecution, work with the Appeals and Prosecutions team on appeals and Court cases relating to decisions taken to prosecute, suspend or revoke licences.
