Receptionist / Office Manager Part Time

  • We are seeking an experienced Office Manager Tues Weds Thurs to join a dynamic consultancy team based in Mayfair, London. In this role, you will be instrumental in ensuring the efficient operation of a small but busy office environment. The ideal candidate will be proactive, able to work independently, and adept at managing schedules and coordinating various suppliers. You will also provide essential support to staff and visitors in a friendly and approachable manner.

    Key Responsibilities:

    Office  & reception Duties:

    • Reception/front door/office phone duties
    • Meeting and greeting 
    • Handling incoming and outgoing post
    • Overseeing health and safety protocols
    • Coordinating recycling efforts
    • Managing building maintenance
    • Booking and organizing meetings
    • Leading ISO audits and compliance efforts

    Travel Logistics:

    • Arranging flights, hotels, and visas
    • Handling medical needs such as vaccinations
    • Ensuring compliance with entry requirements

    Tender Team Support:

    • Updating and maintaining CVs and project sheets
    • Handling administrative requirements, including environmental policies and declarations

    Resourcing Support:

    • Managing staff availability and calendars
    • Coordinating team events and handling disruptions (e.g., train strikes)
    • Overseeing the recruitment process, including job postings, scheduling interviews, and organizing the interview process
    Requirements:
    • Proven experience as an Office Manager, ideally in a professional services company
    • Ability to work independently and manage schedules efficiently
    • Strong organizational skills to coordinate various suppliers
    • Friendly and approachable manner to support staff and visitors
    • Proficiency in Microsoft Office packages
