Office Manager

Role Group & Role Training are searching for an office manager to join the growing team in Higham’s Park as an office manager.

Role is a construction and rail site services and training provider, and the office manager will be looking after various elements of Role, including administration, inputting invoices, compiling reports, training coordination and some marketing, along with general office management.

Knowledge of Sage would be welcomed. Suitable office managers will come from an office management background and knowledge of the construction industry will be a huge advantage. Office managers will be able to demonstrate organisation and have a pro-active attitude.

Duties will include, but not limited to:

• Assist in the development of the centre including procedures and scheme spec support.

• Ensure the centre is compliant at all times and in line with all/ any Awarding Body requirements.

• Ensure the correct and timely submissions of centre paperwork and certification processes.

• Track, manage, inspect and order (where required) the correct plant or equipment.

• Support and lead on internal and 3rd party centre audits - CITB/ NSAR/ RISQS etc.

• Work with key stakeholders and feedback relevant and timely information in relation to operations as required.

• Be willing to become a Drugs and Alcohol Collections Officer

• Maintain/ develop a CRM system and keep all admin up to date.

• Ad hoc duties as requested by Line Managers

• Maintaining emails and spreadsheets

• Maintaining and ensuring the training matrixes are kept up to date and training requirements are identified in advance of expiry.

• Administration on various platforms

• Fleet management: hire car/ insurance paperwork/ bookings /servicing.

• Audits: manage compliance with legislation and H&S, assisting with audit paperwork. Assisting with audit paperwork and preparation for accreditations to include ISO/RISQS/Constructionline /Achilles/CITB/ITC, NSAR etc.

• Preparing of training documents.

• Maintaining Management System Audits

• Maintaining PQQ / Subcontractor / Supplier Questionnaires and gathering data evidence as required.

• Accounts assistant to include inputting of invoices on Sage.

The ideal candidate will:

• Ideally have knowledge in the Rail / Construction/ Training/ Recruitment sectors

• Strong administration experience ideally in a Training/ Compliance environment with 3 years + in an office management position

• ISO audit experience / RISQS / Achilles, Constructionline / CITB previous experience

• Be a strong team player and be able to demonstrate excellent verbal and written communication skills.

• A strong level of IT competency including Microsoft Office and Excel is essential.
