A Day in the Life

You will assist the Centre Manager in day-to-day administrative tasks related to staffing, clients, and various ad-hoc duties. This extends beyond administration as you are an integral part of the centre’s team. This entails participating in all centre support activities, contributing to our award-winning service delivery. This role desires adherence to the company's values and shared responsibility for planning, organising, and overseeing all centre services.

Responsibilities
  • Assist in the day-to-day management of the business centre.
  • Manage the Business Centre in the absence of the Centre Manager, handling various aspects of the role.
  • Handle billing for all clients and log invoices/charges using the in-house system.
  • Process catering orders and meeting room requests from clients as needed.
  • Respond promptly and courteously to customer requests, whether in person or over the phone.
  • Coordinate with relevant staff to ensure timely responses to all queries within procedural deadlines.
  • Book chargeable services for clients, such as couriers and taxis.
  • Create and distribute welcome packs for new clients.
  • Maintain the cleanliness, safety, and welcoming atmosphere of all meeting rooms, management offices, and vacant offices for clients and visitors.
  • Conduct viewings of the Business Centre to the required standards
  • Manage outgoing post, ensuring proper franking and daily collection, and route incoming mail to relevant clients.
  • Provide reception cover as needed.
  • Perform administrative and clerical duties for clients as required, including archiving, collating, laminating, mail prep, word processing, data entry, and report prep.
     
Skills and Experience
  • At least 1 years’ experience in an Assistant Centre Manager, Hotel Management, Property Management, or similar position managing an asset of this calibre.
  • At least 3 years’ experience in a busy office & customer-facing environment.
  • Ideally holding previous experience working in an SME or a small, close-knit team.
  • Ideally holding experience working in front of house management roles.
  • Excellent leadership skills to assist with managing the team to drive success.
  • Microsoft Office proficiency – mainly Outlook & Word.
  • Excellent negotiation and communication skills.
  • Excellent administrative and organisational skills.
  • Client and customer service focused.
  • Self-motivated and proactive approach.

Hours Of Work
  • Full-Time
  • Monday – Friday
  • 9am – 5pm
