The Client

The Role

The studio is on the lookout for a Finance and Procurement Assistant to join the team and play a pivotal role in overseeing the financial aspects of their design projects. They are looking for someone who is detail-oriented, and who thrives in a collaborative, fast-paced setting.

As part of your responsibilities, you will manage resources, budgets, financial reconciliation, invoice clients, and provide insightful reporting on month-end accounts. You will also play a big part in the coordination of procurement of high end products across the UK. Moreover, you'll have the opportunity to work closely with senior leadership and designers, serving as a business partner to their talented team.

Responsibilities

Finance

  • Reconciliation of past and current projects, working in conjunction with PMs and Designers
  • Raise monthly billing invoices, issue statements, and monitor bank activities
  • Gather relevant information for preparing the company's monthly cashflow/income forecast
  • Analyse historical project data to advise on fee structures and estimates
  • Manage budgets for FF&E alongside Senior Designers and Project Manager, aiming to maximise margins
  • Monitor and allocate design hours with the Project Managers, ensuring targets are met and budgets are maximised
  • Administer FF&E procurement, monitor quotes, sales orders, and invoices as needed to support Senior Interior Designers
  • Inspect and sign-off quotes and sales orders to ensure accuracy
  • Supporting SH Product development and financial planning
  • Ad hoc financial duties as required

Procurement

  • Coordinating the procurement of products for high end projects in UK and overseas
  • Liaising with the designers and finalising purchase details of orders and deliveries
  • Monitoring the progress of the orders and processing invoices
  • Dealing with installation companies/suppliers to ensure all goods are delivered in time
  • Organising all global shipping and logistics, including the creation of all documents and import / export procedures
  • Managing project budget schedules and reporting to Head of Procurement
  • Communicating and negotiating with trade suppliers
  • Saving and recording all FF&E certification including any relevant CE or FR documents

What we need to see

  • Minimum 2 years in a similar role
  • Advanced knowledge of Microsoft Excel
  • Excellent communicator
  • Experience in an architecture or design studio

Salary: £40,000-£45,000 + benefits

Start Date: ASAP

Location: London

Hybrid/Remote: 3 days per week in-office
