Our client are looking for a detail-oriented and proactive individual to join and support their Purchasing Department. In this role, you would play a key part in ensuring the smooth and efficient flow of purchasing processes across the company, including, but not limited to: maintaining accurate purchasing records, liaising with suppliers and ensuring the timely delivery of goods to meet the company’s needs.

Job Duties

  • Provide support with ad hoc administrative tasks as required, including assisting temporary projects, data entry, document preparation
  • Maintain and update records, databases, and filing systems (digital and physical)
  • Ensuring all information related to new products is uploaded onto the relevant software to provide visibility for the purchasing, marketing and design teams
  • Update all relevant reports using specific formulas (e.g. index and match, concatenate, VLOOKUP, average, pivot tables) to ensure that all information is up to date (e.g. stock on order, available, current sales and sales history)
  • Liaise with internal departments and external contacts to ensure product stock, quality, pricing is up to date.
  • Assist with quality control complaints from customers and provide them with letters for the results of all product assessments and testing
  • Support the team with maintaining correspondence with the shipper and to write and maintain reports and lists relevant to the Purchasing dept
  • Collaborate with internal teams to understand purchasing needs and schedules
  • Communicate with suppliers to confirm orders, resolve issues, and track deliveries.Any other relevant duties as required

Requirements

  • Previous experience in a purchasing or administrative role (1-2 years preferred)
  • A team player with a proactive attitude
  • Ability to manage multiple tasks and deadlines effectively
  • Proficiency in Microsoft 365 (Excel, Word, Outlook)
  • A degree of flexibility, being able to adjust to changing priorities and demands
  • Strong communication skills
