An exciting opportunity await for a Sales Administrator to join a rapidly expanding property investment and development firm nestled in North West London.

We're on the lookout for an organized, ambitious, detail-oriented individual to shepherd our potential property acquisitions from initial agreement to securing the keys post-transaction completion. This pivotal role also entails proactively identifying new property prospects through meticulous online research.

Preference will be given to candidates with prior experience in real estate administration, coupled with an unwavering tenacity in soliciting clear responses from agents and solicitors. Effective communication is paramount, as you'll closely collaborate with our COO.

Key Responsibilities:

  • Timely issuance of Sales Memorandums by selling agents
  • Scrutinizing sales memo accuracy
  • Maintaining contact details for agents involved in property sales
  • Familiarizing yourself with each vendor's circumstances to facilitate swift transactions
  • Tracking agreed-upon properties via monthly spreadsheets
  • Ensuring solicitor funds are allocated for property searches
  • Coordinating with our solicitor for transaction status updates
  • Vigorously chasing responses to inquiries to meet deadlines
  • Updating data rooms with pertinent information
  • Pursuing title reports from our solicitor
  • Liaising with all parties regarding exchange and completion dates
  • Ensuring readiness of vendors' solicitors
  • Verifying completion documents like signed TR1s
  • Guiding the development team on key collection procedures post-completion
  • Assisting in sourcing new properties that align with specific criteria, such as budget and size, and facilitating property viewings—a task demanding sustained focus and meticulous attention to detail.

Key Skills:

  • Previous experience in a similar property or administrative role is preferred.
  • Exceptional communication abilities.
  • Proficiency in Excel, Word, and navigating data rooms.
  • Determination and a robust work ethic.

This position requires on-site presence Monday through Friday—no hybrid working arrangements.
