We are seeking a Business Coordinator to join a global leading telecoms organisation to oversee the coordination of international business travel and expenses for our UK teams attending meetings and project sites around the world.
In this role, you will be the key interface for all matters relating business travel, from request to expense claims. It will involve liaising with multiple external stakeholders of travel agencies, airlines, car rental companies, visa consultants and hotel booking sites to secure a safe, local, comfortable and well-priced deal.
You will be further responsible for any modifications, cancellations and reschedules in compliance with our Travel & Expense Policy and personal data protection requirements.
Role Responsibilities
- Research, organise and book complex business trips for UK based employees (ie. multi-stop, remote location trips, etc.) in compliance with travel rules, policy and regulations with travel providers.
- Liaise and build relationships with travel agencies, hotel providers, airlines, railway, car rental, visa consultants as part of travel bookings.
- Negotiation of rates directly with providers for cost optimisation.
- Support travellers with visa applications and work permits, when required.
- Monitor bookings for any changes/cancellations in tools and related documents, notifying travellers and rearranging when required.
- Assist employees so that their travel takes place in the best conditions of efficiency, quality, safety and security.
- Liaise with GSOC and Insurance team on all safety and security issues related to business travel, when needed
- Contribute regularly to monitoring the proper application of ASN travel and expenses rules to avoid any non-compliance or dissatisfaction and manage potential disputes with suppliers and escalate non compliances to T&E and/or line management
- Work to support employees with the understanding of our processes, policies and rules related to business travel.
- Inform travellers of pest practices (tool uses, rules application, travel limitations, risk management) and direct them to the right contacts.
- Support the communication to employees, understanding the risk related to business travel (insurance, country risk training, etc.)
- Work with Business Travel & Expenses Manager to identify the most suitable solutions to manage business travel (such as traveler tracking, travel booking, travel achieving, etc.)
Person Specification
- Experience in a travel planning role - such as Travel Agent, Travel Consultant, EA/PA.
- Demonstrable supplier management, stakeholder management experience
- Ability and confidence to negotiate with travel providers
- Strong organisational skills with high attention to detail
- French Speaking - beneficial
