Your Mission:
The Marketing Events Coordinator will be responsible for the planning, execution, management, and analysis of all corporate events. This includes both internal and external global events, spanning physical, digital, and hybrid formats. The role demands a dynamic, creative, and passionate individual with an eye for detail who can manage multiple projects simultaneously and adapt to the evolving needs of the business. The Marketing Events Coordinator will be required to travel including international trips.


Roles and Responsibilities:
  • Event Planning and Production: Oversee all aspects of event management, including research into and proposal for upcoming events, venue selection, negotiation with venues and vendors regarding services (e.g. stand builders), event registration, on-site staffing, and post-event reporting. This also includes organising the shipment of materials, itineraries, hotels, flights, VISAs/ESTAs, etc., for staff travelling overseas for events and, at times, clients travelling to Bedfont. 
  • Budget Management: Maintain the events budget to ensure financial efficiency. Track expenditures and provide reports to the Marketing Manager.
  • Stakeholder Engagement: Coordinate with internal departments and external partners to ensure all aspects of each event align with organisational goals and standards.
  • Marketing and Promotion: Collaborate with the Marketing Team to develop event marketing strategies and materials, ensuring event promotion aligns with the company’s brand identity and messaging goals.
  • Technology Management: Utilise the latest in event technology to plan and execute digital and hybrid events. Ensure all physical events are supported by appropriate digital tools for registration, engagement, and measurement.
  • Vendor and Venue Coordination: Manage relationships with venues and vendors globally, especially for large-scale exhibitions and international events.
  • Compliance and Risk Management: Ensure all events comply with relevant laws, regulations, and industry standards. Manage risks associated with event planning and execution. This includes staying up-to-date with GDPR legislation to ensure all data processing is GDPR compliant.
  • Feedback and Continuous Improvement: Gather feedback through surveys and debriefs to measure event success and identify areas for improvement. Implement changes to enhance future events.

Qualifications and Education Requirements:
Although this area of work is open to all graduates and/or relevant experience, the following degree or experience areas are preferable:
  • Marketing, events management, communications, or a related field.
  • Proven experience in event management, preferably within a corporate or agency setting.
  • Familiarity with the healthcare industry and clinical terminology is advantageous.
  • Proficiency in event management software and familiarity with digital event platforms.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and market research software/tools.
  • Proficiency in data collection, management, and analysis tools such as SurveyMonkey, Excel, Google Analytics, and CRM systems.
  • Proven experience in conducting market research, analysing data, and generating insights and recommendations.

Preferred Skills:
  • Strong project management skills with the ability to manage deadlines and prioritise tasks effectively.
  • Excellent communication and interpersonal skills, capable of working collaboratively across teams and with external stakeholders.
  • Ability to work independently, as well as part of a team, in a fast-paced and dynamic environment.
  • Creative thinking and problem-solving skills.
  • Attention to detail and precision.
  • Strong negotiation and budget management skills.
  • Ability to adapt to changing environments and manage multiple projects simultaneously.
  • Language skills are a bonus.
